How it works
What exactly is ClaimWorks?

ClaimWorks is a SaaS platform that gives DBA attorneys a six-agent AI team. Each agent handles a specific part of the claims process: intake, records retrieval, evidence building, claim monitoring, appeals triage, and case coordination. You get a single dashboard showing every active case, every agent action, and every deadline. You focus on legal strategy. The platform handles the administrative overhead that currently consumes 40 to 60 percent of most DBA practices.

What does a typical case flow look like?
  1. Intake. A veteran or contractor reaches out to your firm. You send them a link to your Joseph intake, branded with your firm name. Joseph conducts a full conversational intake at the veteran's pace, in English or Spanish.
  2. Case record created. Joseph collects service history, deployment locations, conditions, onset dates, nexus, and representation preference. The veteran reviews a complete summary and confirms before the session ends.
  3. Record arrives in your dashboard. The structured case record and pre-filled VA Form 21-526EZ are immediately available. A CSV export formatted for your case management software is also ready to download.
  4. Squad activates. Jessica submits records requests. Todd begins building the evidence package. Diana starts monitoring once the claim is filed. Victor is ready if the VA pushes back. Lisa keeps the veteran informed.
  5. You review and submit. You add your legal analysis, review the package, and file. Everything you need is assembled and waiting.
How long does a Joseph intake take?

A typical intake takes 8 to 15 minutes depending on the complexity of the case. Joseph adapts its pace to the individual. There is no time limit and no pressure to rush. Veterans with TBI or PTSD receive a slower, more patient experience automatically.

Does ClaimWorks file the claim or just prepare it?

ClaimWorks prepares. You file. The platform produces a complete, attorney-reviewed case package ready for submission. The attorney of record reviews everything, applies their professional judgment, and submits. ClaimWorks does not file claims autonomously.

Your professional responsibility and your client relationship remain entirely with you.

Joseph and the squad
Who is Joseph and what does he actually do?

Joseph is an AI intake guide. He conducts conversational VA benefits intakes - asking about service history, deployment locations, health conditions, onset dates, and representation preferences in plain, trauma-informed language. He adapts to veterans with TBI or PTSD, works in English and Spanish, and recognises crisis signals with appropriate protocols. At the end of every session he produces a structured case record, a pre-filled VA Form 21-526EZ, and a CSV export ready for your case management software.

What are Jessica, Todd, Diana, Victor, and Lisa?

Each is a specialised AI agent with a defined role in the case workflow:

  • Jessica - Records retrieval. Submits NPRC requests, tracks responses, escalates overdue requests.
  • Todd - Evidence and nexus. Maps conditions to PACT Act presumptives, identifies secondary conditions, drafts nexus letter frameworks for attorney review.
  • Diana - Claim monitoring. Tracks VA status daily, flags anything that needs attention, alerts you to deadlines.
  • Victor - Appeals triage. Analyses denial letters, identifies grounds for appeal, recommends the right appeal lane.
  • Lisa - Coordination. Manages reminders, keeps veterans informed, ensures nothing falls through the cracks.

All agent actions are logged and visible in your dashboard. You review, you decide, you act.

What languages does Joseph support?

Joseph currently supports English and Spanish. He detects the veteran's preferred language from their responses and switches automatically. Additional language support is on the roadmap.

What happens if a veteran expresses distress or mentions self-harm during intake?
Joseph is built with crisis awareness as a core feature, not an afterthought.

If a veteran expresses distress or shows signs of crisis, Joseph pauses the intake, acknowledges what the veteran has shared, provides the Veterans Crisis Line number (988, then press 1), and does not continue until the veteran indicates they are ready. The attorney is notified of any flagged sessions immediately.

Can I add Joseph as a chat widget on my firm's website?

Yes. Every ClaimWorks subscription includes a firm-branded Joseph embed that can be added to your website with a single line of code. Veterans visiting your site see a chat button in the corner. When they click it, Joseph opens in a panel on your page - fully branded with your firm name, no ClaimWorks branding visible.

Your web developer or IT contact can add this to any page in under five minutes. If you do not have a developer, our support team will assist you.

What does the embedded Joseph experience look like for the veteran?

A small chat button appears in the bottom right corner of your website, labelled with your firm name. When clicked, a chat panel opens on the page. Joseph introduces himself as being from your firm and begins the intake conversation naturally. The veteran never leaves your website and never sees the ClaimWorks name.

Completed intakes appear in your ClaimWorks dashboard exactly as they would from a direct Joseph link.

Which plans include the website embed?

The website embed is included on all plans - Solo, Practice, and Firm. It is one of the fastest ways to start receiving intakes because veterans can begin a conversation the moment they land on your site rather than having to call or email first.

I do not have a website. Can I still use Joseph for intake?

Yes. Every account includes a direct Joseph link you can share via email, text message, or any other channel. The link opens Joseph in a standalone page branded with your firm name. Many attorneys send this link directly to veterans at the start of an engagement rather than embedding it on a website.

Attorney-client relationship
Does Joseph speak to veterans on my behalf?

Yes, under your firm's brand. Joseph introduces himself as being from your firm. The veteran's experience is entirely with your firm. ClaimWorks is the platform layer - invisible to the veteran.

Does using Joseph create an attorney-client relationship?

That is a question for your state bar and your own professional judgment. Joseph is designed as an intake tool, not a legal advice tool. It collects information and explains the claims process. It does not provide legal opinions or recommendations. How that maps to your jurisdiction's rules on attorney-client formation is something you should assess before deploying.

What does the veteran see and agree to before the intake ends?

At the end of every intake the veteran is shown a complete summary of everything collected - all fields, clearly labelled - and asked to confirm the information is accurate. They confirm before the session concludes. Nothing is shared with the attorney without that confirmation step.

Can I customise what Joseph says?

Your firm name and attorney name are injected automatically. Joseph always introduces himself as being from your firm. Deeper customisation of Joseph's language and question flow is available on the Firm plan and is on the roadmap for all plans.

Case management integrations
How does Joseph data get into my case management software?

Every completed Joseph intake generates a CSV export formatted to match the standard matter import template used by the most common legal practice management platforms. You download the CSV from your ClaimWorks dashboard and import it directly into your case management software in two or three clicks.

The CSV includes all fields captured during intake: client name, contact details, service branch, service dates, deployment location, conditions claimed, representation preference, and prior claims history. Fields not yet collected during intake are included as blank columns so the file structure remains consistent.

Which case management platforms does the CSV export work with?

The export is formatted to the standard CSV import structure accepted by all major platforms. Tested and confirmed compatible with:

  • Clio Manage - import via Matters CSV upload
  • MyCase - import via Cases CSV upload
  • Smokeball - import via Contacts and Matters CSV
  • PracticePanther - import via Matter import template
  • Filevine - import via Project import
  • CaseFox - import via CSV matter upload

If you use a platform not listed here, the CSV will work with any system that accepts standard comma-separated format with a header row - which covers every major legal practice management tool on the market.

Is there a direct API integration rather than CSV export?

Direct API integrations with Clio and MyCase are on the Phase 3 roadmap. When live, a completed intake will push directly to a new matter in your case management system with no manual download or import required. What fields does the CSV include?

The standard export includes the following columns, matching Clio's matter import field names for maximum compatibility:

  • Client First Name, Client Last Name
  • Phone, Email, Mailing Address
  • Matter Description (auto-generated from conditions claimed)
  • Practice Area (pre-filled as "Veterans Benefits")
  • Open Date (intake date)
  • Custom fields: Service Branch, Service Start Date, Service End Date, Theater/Deployment, Conditions Claimed, Representation Choice, Prior Claims

Identity fields not collected conversationally (SSN, DOB, VA file number) are included as blank columns so you can complete them in your case management system after account verification.

Data and security
Who owns the veteran's data?

You do. The subscribing attorney is the data controller for all client information entered through ClaimWorks. We process that data solely to provide the service. We do not sell it, share it with third parties, or use it to train AI models.

Is veteran data encrypted?

Yes. All data is encrypted in transit (HTTPS/TLS) and at rest. Access is restricted to authenticated users only. In the event of a data breach affecting your data we will notify you within 72 hours.

Is the AI conversation confidential?

Conversation data is processed in real time by the AI model powering Joseph and is not stored beyond the active session or used to train future models. We recommend informing veterans that AI technology is used to assist with intake, consistent with applicable professional conduct rules. Full details are in our Privacy Policy.

How long is data retained after I cancel?

We retain your data for 90 days after cancellation to allow for account reactivation. After 90 days all case data is permanently deleted. You can request earlier deletion at any time by contacting hello@claimworksusa.com.

Complex cases
Can Joseph handle burn pit and PACT Act claims?

Yes. Joseph is trained on burn pit exposure indicators and PACT Act presumptives. When a veteran mentions service at locations with known burn pit activity, Joseph flags this proactively and Todd maps the documented conditions to the relevant presumptive categories. The presumptive list is updated as the VA publishes changes.

How does it handle TBI and cognitive impairment during intake?

Joseph has a TBI-aware mode that activates when a veteran mentions head injury or cognitive difficulties. In this mode Joseph slows its pace, uses shorter sentences, avoids complex terminology, and is more patient with unclear responses. The attorney is notified when TBI mode was active during an intake.

What about secondary conditions and nexus?

Todd specifically identifies secondary condition opportunities - for example sleep apnea as secondary to PTSD. Joseph asks about onset dates and service connection for each condition. Todd then drafts nexus letter frameworks for attorney review. The attorney adds their professional assessment and signs off before anything goes to the VA.

Can it handle Agent Orange and Vietnam-era claims?

Yes. Joseph covers Vietnam-era service locations, Agent Orange presumptives, and the expanded locations added under the PACT Act. The system handles the longer, more complex service histories typical of Vietnam-era claims.

Plans and billing
What is included in each plan?

Solo ($399/month): Unlimited Joseph intake sessions, full six-agent squad, case dashboard, VA Form 21-526EZ output, CSV export for case management software, email reminders, website embed, and one attorney login.

Practice ($799/month): Everything in Solo plus SMS reminders, team case assignment, priority alerts, up to five attorney logins, and priority support.

Firm ($1,499/month): Everything in Practice plus unlimited attorney logins, calendar integration, white-label option, API access, and a dedicated account manager.

All plans include a 30-day free trial. No charge until the trial ends.

Is there a contract or minimum commitment?

No contract and no minimum commitment. All plans are month-to-month. Cancel any time and your access continues until the end of the current billing period.

How does billing work?

Billing is monthly, in advance, via credit or debit card. Payment is processed securely through our payment provider. You receive an invoice by email each month. Update your payment method or cancel from your account settings at any time.

Can I switch plans?

Yes. Upgrade or downgrade at any time. Upgrades take effect immediately and are prorated. Downgrades take effect at the start of your next billing period.

Do I need any technical knowledge?

None. ClaimWorks runs entirely in your browser. There is nothing to install and no software to configure. The website embed requires adding one line of code to your website - your web contact can do this in under five minutes, or our support team will assist you.
